Terms and Conditions

1. The service

We read your supplier invoices, credit notes and Z-readings, check the data, and return it to you as a spreadsheet, together with your files renamed and organised in your shared folder. Other products, such as Jumbo Assistant or custom automations, are agreed with you separately.

Jumbo Assistant is included in the 50–150 and 150+ invoice plans, and can be added to the up to 50 plan for a monthly fee. We provide it only to clients whose invoices we process.

2. What we do not do

We do not provide accounting, tax or legal advice, and we do not file VAT or tax returns. Your accountant remains responsible for your accounts and returns.

3. Your responsibilities

• Send us complete and readable invoices on time.
• Tell us about new suppliers or special cases we should know about.
• Keep your original invoices for the period required by Maltese law.
• Check the data you receive and tell us about any mistake within 14 days.

4. Accuracy

We use AI, automatic checks and a human review to make the data as accurate as we can. We cannot guarantee that every figure is free of error, especially when an invoice is damaged, unclear or incomplete. If you report a mistake that we made, we correct it free of charge.

5. Fees and payment

Fees are a fixed monthly price based on the number of invoices, plus a one-time setup fee, as agreed with you before we start. Prices exclude VAT. We invoice monthly and payment is due within 14 days. If you regularly send more invoices than your plan includes, we agree a new plan with you first. For more than 150 invoices a month, the price is agreed with you individually.

Our promise: if your accountant is not happy with the spreadsheet we deliver for a month, tell us within 14 days of receiving it. We will fix it, and if your accountant is still not happy, you do not pay for that month.

6. Starting and ending

The first month has no commitment. After that, the service runs month to month. Either side can end it with 30 days' written notice, for example by email. When the service ends, we give you a full copy of your data and then delete it as described in our Privacy Policy.

7. Confidentiality and data

We keep your invoices and business information confidential and use them only to provide the service. We process personal data in invoices as your data processor, under a written data processing agreement and our Privacy Policy.

8. Ownership

Your invoices, the extracted data and the spreadsheets we deliver belong to you. Our automations, rules and software remain ours.

9. Liability

Our total liability for any claim connected with the service is limited to the fees you paid us in the three months before the claim. We are not liable for indirect losses, such as lost profit or penalties caused by information that was not checked before filing. Nothing in these terms limits liability that cannot be limited by law.

10. Changes and governing law

We may update these terms and will tell clients at least 30 days before a change affects them. These terms are governed by the laws of Malta, and the courts of Malta have jurisdiction.
